Hirebook I-9 & E-Verify File
For clubs and studios with employee dancers, bartenders, security and crew

Seasonal staff, permanent paperwork.

Hirebook keeps every I-9's dates, the E-Verify case where your state requires it, reverification before work authorization runs out, and the day each form may finally be destroyed - and refuses anything out of order.

Opens in this browser with an invented club already in it. No account, no email address, nothing installed. Never holds a Social Security number, a document number or a copy of anyone's papers.

The problem

Three years, or one year after they leave.

Every I-9 is kept three years after hire or one year after leaving, whichever is later. Several states require E-Verify at set sizes. A club turning over staff every season loses track of whose form is due and whose may be shredded.

25 employees

and Florida requires E-Verify for every new hire, counting staff anywhere.

Will not shred a form early.

Not a reminder. A hire is refused without Section 1 by the first day. An E-Verify case is refused before Section 2. Destroying an I-9 is refused while the person works there and before its keep date. Nothing is deleted. There is no override.

How it works

Hire, verify, keep

Add the hire

Section 1 by the first day; Section 2 within three business days.

Create the case

E-Verify where your state requires it at your size.

Keep, then destroy

The keep-until date is worked out for you the day they leave.

What it will never do

It keeps the dates. Never the documents.

Hirebook holds dates and case numbers, nothing more.

No Social Security numbers. The form itself has what it needs.
No document numbers.Only that Section 2 was done, and when.
No copies of anyone's papers.Nothing is uploaded or scanned.
It is not legal advice.USCIS's handbook is the reference.

Questions

The ones we actually get asked

Do dancers on the payroll need an I-9?

Every employee does. Independent contractors do not - that is a different question for your accountant.

Does my state require E-Verify?

Pick your state and headcount; Hirebook says. Alabama, Arizona, Mississippi and South Carolina require it of every employer.

When can I shred an old I-9?

Three years after hire or one year after they left, whichever is later. Hirebook works out the date.

Is this legal advice?

No. It is the record and the gates.

What do I actually get when I pay?

The demo on this page is the whole program, running on invented records. Paying gets you a licence key — one line of text, on your screen as soon as the payment confirms: the checkout brings you back to our thank-you page, you type your business name and the key appears. Paste it into the program and from then on it keeps your own records. Until then, nothing you type into it is kept.

The key is checked inside the page, on your own machine. It never calls us, so there is still no account and nothing about your business goes anywhere. If you ever stop paying, your records stay exactly where they are, read-only, and Export still hands you every one of them.

An invented Florida club has a stage hand two weeks in with no E-Verify case - and a guard's I-9 that must not be shredded for most of a year.
